How to Configure Email on Outlook, Gmail and Mobile Devices

Once a mailbox exists in cPanel, you’ll want it working in whatever client you actually check daily. Here’s the setup for the most common ones.

IMAP or POP3?

Use IMAP unless you have a specific reason not to — it keeps messages synced on the server and mirrored across every device, so reading an email on your phone also marks it read on your laptop. POP3 downloads messages to a single device and (depending on settings) can remove them from the server, which causes headaches once you check email from more than one place.

Finding your exact settings

In cPanel, go to Email > Email Accounts, find your address, and click Connect Devices. This shows the exact incoming (IMAP) and outgoing (SMTP) server, port, and encryption type for that specific mailbox — always use these over generic guesses.

Setting up in Outlook

File > Add Account, enter your email address.
Choose manual/advanced setup if Outlook doesn’t auto-detect the correct server.
Enter the IMAP and SMTP details from cPanel’s Connect Devices page exactly, including ports and encryption (usually SSL/TLS).

Setting up in Gmail (as a “send mail as” / fetch account)

Gmail can send and receive on your domain address without a separate app: under Settings > Accounts, use “Add a mail account” to fetch via POP3/IMAP, and “Send mail as” with your domain’s SMTP details to send from that address through Gmail’s interface.

Setting up on iPhone/Android

Add a new account under Mail settings, choose “Other” or “IMAP”, and enter the same incoming/outgoing details from Connect Devices. Most mobile mail apps auto-fill the port and encryption once you select IMAP, but confirm they match cPanel’s listed values if mail doesn’t sync immediately.

If a device still won’t connect after matching every setting, double-check the password was typed correctly — copy-pasting from a password manager avoids autocorrect or keyboard-layout mistakes.
