How to Create and Manage Email Accounts in cPanel

Every cPanel hosting account can host its own email addresses on your domain (e.g. you@yourdomain.com), independent of any personal Gmail or Outlook account. Here’s how to set one up.

Creating a mailbox

  1. In cPanel, open Email > Email Accounts.
  2. Click Create, choose the domain if you have more than one, and enter a username (the part before the @).
  3. Set a strong password, or let cPanel generate one for you.
  4. Set a mailbox quota — 1-2GB is plenty for most staff mailboxes; leave it unlimited only if disk space allows.

Accessing the mailbox

Every account gets webmail access at yourdomain.com/webmail (Roundcube or Horde). For a desktop or mobile client, use the Connect Devices button next to the account in cPanel — it shows the exact incoming/outgoing server, port, and encryption settings for that mailbox, which avoids the usual guesswork with IMAP vs POP3.

Forwarders and autoresponders

If you don’t need a full mailbox — say, for sales@yourdomain.com forwarding to a personal address — use Email > Forwarders instead of creating a mailbox. For out-of-office replies, each mailbox has its own Autoresponders section under Email.

Managing existing accounts

From the Email Accounts list you can reset a password, adjust a quota, or delete an account entirely. Deleting removes the mailbox’s messages permanently, so export or forward anything important first.

If mail from a new address starts landing in recipients’ spam folders, check our guide on fixing SPF, DKIM and DMARC.
